How to Find Vendors for Your Ontario Festival
· 4 min read
Every Ontario festival organizer knows the feeling: the date is set, the permits are moving, and the vendor roster is still half empty. Whether you run a summer street festival in Toronto, a farmers' market in Niagara or a winter market in Ottawa, the quality of your vendors shapes the whole guest experience. Here is a practical way to find, vet and confirm the right vendors without living in your inbox.
1. Decide what your event actually needs
Before you post a vendor call, write down the mix you want: how many food trucks versus food tents, how many artisans and craft vendors, and whether you have room for exhibitors or sponsors. Note your power availability, booth sizes, setup times and booth fees. Ontario vendors decide quickly, and a clear listing with real numbers gets far more serious applications than a vague “vendors wanted” post.
2. Go where Ontario vendors already look
Food trucks and market vendors plan their season months ahead, and they search by region and date. Listing your event on a dedicated festival marketplace puts it in front of vendors who are actively looking for Ontario festivals and markets, instead of relying only on social media posts that disappear in a day. Keep using your own contacts too: send returning vendors a direct link so they can re-apply in minutes.
3. Ask for the right documents up front
Most Ontario events need a certificate of insurance, a menu or product list, setup photos, and for food vendors, public health paperwork plus propane or TSSA documentation where cooking equipment is involved. Asking for these at application time saves weeks of follow-up. Our Ontario food vendor guide lists what organizers typically request, and you can point vendors to it from your listing.
4. Review, approve and communicate in one place
The biggest time sink for organizers is not finding vendors, it is tracking them. Spreadsheets, email threads and DMs make it easy to miss an expired insurance certificate or a vendor who never confirmed. Using one dashboard to approve, waitlist or decline applications keeps your roster balanced by category and gives every vendor a clear answer.
5. Start earlier than you think
For spring and summer events in Ontario, popular food trucks often book their calendars over the winter. Fall fairs and Christmas markets fill up by late summer. Posting your vendor call three to six months ahead gives you the best choice of vendors and time to fill gaps.
FestLink is free for Ontario event organizers. Post your event once, share the link with your own vendor list, and let new food trucks, artisans and small businesses across Ontario find you.
